This privacy policy aims to give you information on how Zero100 Community Limited (Zero100”, “we”, “us” or “our”) collects and processes your personal data using both offline means (e.g. via phone, mail, in-person meeting and other correspondence) and online means including through your use of our websites (including https://zero100.com, http://members.zero100.com and http://forum.zero100.com, http://live.zero100.com) and associated mobile applications.

This privacy policy informs you of our collection, use and disclosure of your personal data where we act as a “controller” (or the same or substantially similar terms or concepts used in applicable data protection law).

Please note that this policy does not cover our processing of personal data as part of the provision of our services provided under our Master Services Agreements that we enter into with our corporate customers. We usually act as a “processor” (or the same or substantially similar terms or concepts used in applicable data protection law) on behalf of the organisation that initiates the use of the service for that personal data - please contact them to learn about how they process your personal data.

It is important that you read this privacy policy together with any other privacy policy we may provide on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your personal data. The Data We Collect About You

For users that register on our website (if any), we also store the personal data they provide in their user profile. You will also be given opportunities to update your personal data in your profile. Website administrators can also see and edit the personal data in your profile.

– Internal Third Parties which include our group companies and affiliates, such as Zero100, Inc.

– External Third Parties which include our service providers, business partners, advisors and legal and regulatory authorities. These include our CRM and marketing vendor (Salesforce) and our cloud storage vendor (Cloudways).

International data transfers

Please note that your personal data may be transferred to countries outside of your jurisdiction where the data protection laws may offer lower protections from those from your jurisdiction. In all cases, we take measures to ensure that personal data is stored and transferred in accordance with applicable data protection law, such as by using UK-approved Standard Contractual Clauses where required, or via the UK Extension to the EU-US Data Privacy Framework. Data Security

We have put in place commercially reasonable security measures to safeguard your personal data. However, please be aware that no method of transmission over the internet, or method of electronic storage is 100% secure and we are unable to guarantee the absolute security of the personal data we have collected from you.

Data Retention

We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation or similar claims in respect to our relationship with you.

To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal, regulatory, tax, accounting or other requirements.

In some circumstances we will anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

Event Data

Zero100 processes your contact data and other information which you may provide directly to Zero100 if you register for any of Zero100's events or other web services to aid your on-boarding, security and safety during an event.

In connection with the registration for an event, Zero100 may ask for your dietary preferences or information about potential disabilities for purposes of consideration for the health and well-being of our guests. Any collection of such information is always based on the consent of the participants. Kindly note that if you do not provide such information about dietary preferences, Zero100 may not have the opportunity to respond to such requests at the time of the event.

When you participate in Zero100 events, we may process your interactions with the relevant webservices to organize the event including its sessions, polls, surveys, or other interactions between Zero100 and/or its delegates. Depending on the event and subject to a respective notification of the participants, Zero100 may collect audio and video recordings of the event or session. Please let us know if you do not wish to appear in any of these recordings.

Your Data Protection Rights

Under certain circumstances and subject to certain exemptions under applicable data protection law, you have rights under data protection laws in relation to your personal data including the following rights to:

– Request access to your personal data. You can access some of this data in your account.

– Request correction of your personal data. It is important that the personal data we hold about you is accurate and current so please keep us informed if your personal data changes or requires updating during your relationship with us. You can correct some of this data in your account.

– Request erasure of your personal data. You can delete some data in your account or close the account yourself.

– Object to processing of your personal data. You can ask us to stop sending you marketing messages at any time by logging into the website and checking or unchecking relevant boxes to adjust your marketing preferences or by following the opt-out links on any marketing message sent to you or by contacting us at any time.

– Request restriction of processing your personal data.

– Request transfer of your personal data to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format.

– Withdraw consent (where we are relying on consent to process your personal data).
